Workspace setup & AI branding
Automate your branding setup with AI, invite your team to collaborate, and connect devtimate with your favorite tools like Jira and Asana.
Professional look in seconds
You only get one chance to make a first impression. When a client opens your proposal, it should not look like a generic document. It should look like your brand.
In this lesson, we will finalize your workspace setup. Instead of manually picking colors or uploading files one by one, we will use Company insights to automate this process.
What you’ll learn
- AI branding: How to automatically import your logo and brand colors from your website.
- Team management: Understanding roles (Admin, Project Manager, Member) and inviting your team.
- Help center: Where to find guides, onboarding materials, and support.
- Settings: Configuring integrations and managing billing.
Company insights: branding on autopilot
Manual configuration is a waste of time. devtimate has a dedicated Company insights tab where our engine analyzes your public website to configure your workspace instantly.
How to do it:
- Go to the Company insights tab.
- Enter your Company Name and Website URL.
- The AI will automatically detect your logo and primary brand colors.
- Confirm the selection to apply it to your workspace.
Why this matters: Every proposal you generate from now on will automatically carry your brand identity. This consistency builds trust and makes your agency look larger and more professional without extra effort.
Inviting your team
Estimation is a team sport. The biggest bottleneck in agencies is sending files back and forth between the Sales team (who needs the quote) and the Technical team (who knows the scope).
To fix this:
- Go to Users.
- Invite your colleagues via email.
- Assign the correct role based on their responsibilities:
- Admin: Best for Agency Owners. Can manage billing, invite team members, and has full access to all estimates in the workspace.
- Project Manager: Best for Sales Leads or Tech Leads. Can create and manage estimates and invite other team members.
- Member: Best for Developers or Sales Reps. Can create and manage estimates but cannot change workspace settings.
By working in one shared workspace, you eliminate version conflicts and ensure everyone is looking at the same numbers.
Help center & resources
We do not want you to get stuck. The Help tab is your command center for learning and support. Inside, you will find:
- Interactive onboarding: 3 step-by-step guides to get you started quickly with basics.
- Knowledge base: Access to the Academy, Blog, and Glossary and product updates.
- Support: Use the live chat to talk to our AI assistamt or book a meeting if you need a walkthrough or any help.
Settings & integrations
Finally, configure your global preferences in the Settings tab.
Integrations: Connect devtimate with your project management tools to export won deals directly to your workflow.
- Available now: Jira, Asana.
- Missing a tool? If you use a different PM tool, let us know and we will add it!
Billing: Here you can manage your subscription plan and view invoices.
Pro tips
“The Unified Front” Clients can tell when a Sales and Tech team are disconnected. By inviting your whole team to devtimate, you ensure that the promises made by Sales match the reality delivered by Tech. This alignment is key to maintaining high margins and happy clients.
“Branding builds value” Your estimate is the first “product” the client receives from you. If it looks premium, the client unconsciously assumes your code quality will be premium too. We will dive deeper into proposal psychology in the Deliver & Share module, but setting up your core identity now ensures you never send a “naked,” unbranded spreadsheet again.
Key takeaways:
- Automate branding: Use AI to set up your visual identity in seconds.
- Collaborate: Invite your team to the platform instead of emailing Excel files.
- Connect tools: Integrate with Jira or Asana to streamline your handover process.
FAQ: Can I just export to Excel and send that to the client?
Technically yes, but for sales, we strongly advise against it.
Sending a raw Excel file is the quickest way to lower your perceived value.
- It kills your branding: All the work you just did to set up your logo and colors gets lost in a generic spreadsheet grid.
- It looks like a draft: Spreadsheets feel like “work in progress,” while a branded PDF or link feels like a “final product.”
- Mobile nightmare: Decision-makers often open proposals on their phones. Excel files are almost unreadable on mobile screens.
Use the Excel export for internal review or if a procurement department strictly requires it. For winning the deal, always use the branded proposal to look like a premium partner.
